We are looking for
Office Coordinator – Paris

Reporting to the Office Manager, your main responsibilities will be:

·       General office administration responsibilities
o   Performs daily audits of the office to detect and address office-related issues
o   Maintains office supplies by checking stock to determine inventory levels; anticipates requirements; places and expedites orders; verifies receipts; stocking items; delivers supplies to work stations
o   Maintains equipment (printers, audio, screens, vending machines, furniture…) by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation
o   Co-ordinates and maintains staff administrative records such as staff parking, staff phones
o   Ensures the office area is kept clean and tidy, involving the appropriate resource/ supplier if needed ·       Suppliers management and optimization responsibilities
o   Builds and maintain list of preferred suppliers/ contractors across all office needs
o   Manages contracting process with suppliers
o   Manages relationship with suppliers – incl. telecom
o   Constantly looks for cost and service quality improvement opportunities, (re)negotiating with suppliers as needed
o   Coordinates day-to-day with repairmen, cleaning contractor and other suppliers to secure the service

·       Other responsibilities
o   Types documents, reports and correspondence among the employees o   Assists with event planning and implementation, incl. after hours events o   Performs work related errands offsite upon request

If you see yourself doing these activities then you probably have :
·       Full professional proficiency in written/spoken English
·       Minimum 1 year of relevant work experience, preferably in an international company, including suppliers management ·       Computer literacy – especially MS Office
·       Well organized and dynamic person, with ability to multitask
·       Good communication and interpersonal skills
·       Very hands-on, get things done
·       Some simple “DIY” skills (e.g., can drill a hole in a wall, hang a picture frame…)
·       Proactive and very reliable – follows-up autonomously on instructions received
·       High standards: eagerness to have a clean, tidy and perfectly maintained office space
·       Excellent organizational skills
